Your Wedding Communication Planner in Italy

Your Wedding Communication Planner in Italy

An Italian wedding is a dream for many, but organising everything in a foreign language — dealing with bureaucracy, suppliers and international guests — can be a real challenge.
Couples organising an Italian wedding from abroad often get tied up in legal requirements for the civil ceremony and vows, and risk guests being unable to follow speeches or misunderstandings with photographers, caterers and venues. Every linguistic detail counts, but nobody should be worrying about these things on their wedding day.
To enjoy a truly unforgettable day, work with a local language partner specialising in English and Italian. I coordinate every word of your Italian wedding, like a dedicated Wedding Communication Planner, handling everything from interpreting during the ceremony and vows to the legal validity of the civil ceremony, translation of documents and order-of-service booklets, and even coordination with local suppliers.

My services are the perfect fit for you and your partner if:

  • you are organising a civil wedding in Italy and one or both of you doesn’t speak Italian
you are celebrating a symbolic ceremony in Italy with international guests that speak different languages
  • you need a sworn translation of official documents in Italian, such as birth certificates, marriage documents or certificates of no impediment
  • you would like a multilingual ceremony with order-of-service booklets, menus, invitations and other printed materials in Italian and English
  • you need to coordinate local suppliers (florists, photographers, caterers and venues) and want to be sure that every detail has been correctly understood.

How does it help to have a trusted language partner by your side?

Your workforce’s productivity remains totally centred around high-value strategic matters, whilst I take care of all translation, copywriting and interpreting with turnkey solutions.
The messages translated and interpreted into Italian, English and French are not just “correct”, but fully aligned with the specific intent of the company and the international communicative context.
Sensitive information is protected by non-disclosure agreements and a transparent and traceable workflow.

How do I work?

I handle all multilingual communication required for your Italian wedding, from the first supplier email through to the closing speech on the day, translating from Italian to English and vice-versa, according to the needs of you and your guests.

Before you say “yes!”

I’ll be on hand throughout the preparations for your big day, dealing with:

  • sworn translation of official documents and certificates
  • localisation of online and printed materials
  • revision and writing of vows and officiant speeches
  • remote interpreting during online contact with suppliers
  • in-person linguistic support during visits to event locations, from Tuscany to Puglia, Lake Como or Marche.

When you say “yes!”

I will be a familiar second voice throughout the ceremony.

What the couples and clients had to say

“

Davide and Denisa

“I had the pleasure of hiring Valentina for my wedding in Italy. She was nothing short of amazing throughout the entire process. Her professionalism shone through from our initial interactions to the big day. What stood out the most was her exceptional ability to communicate. Not only was she incredibly fast in her translations, but she was also a breeze to coordinate with. She played a crucial role in making my wedding a memorable event where everyone felt understood and included, regardless of language barriers. She is gentle, polite and her ease of communication makes any event run smoothly. I wholeheartedly recommend her for any translation or interpreting needs.”

“

Alessandra and Carlo

“Valentina played an essential role in uniting our two worlds: that of our Italian roots and that of our international friends from various countries. During the symbolic ceremony, Valentina provided simultaneous interpreting into English of the various declarations and speeches, and it was so fluent that everyone laughed and felt the emotion together. It wasn’t just a translation, but a running narration that allowed all of our guests to really feel involved in our special moment.”

“

Danilo, founder of Turismarche, a tour operator specialising in destination weddings

“We have worked with Valentina for years and she is our go-to interpreter and translator for couples choosing to get married in Petritoli. Her professional support helps us to offer our customers a complete package. Plus, being from the area, Valentina is more than familiar with local logistics and cultural differences.”

F.A.Q.

Why do you need an interpreter for a civil ceremony?
Because it is required by Italian law. If either of the couple getting married are not native Italian speakers, an official interpreter must be present to translate the official statements of the Registrar and swear that their translation is accurate and faithful. Without this figure, the ceremony has no legal validity and the officiant cannot proceed. Choosing an interpreter in advance means having a voice that you recognise to unite you in marriage.
Is special technical equipment required, such as booths or headphones?
That depends on the number of guests and the type of atmosphere you are aiming for. For civil ceremonies like Davide and Denisa’s [link to case study], I stand alongside the officiant and translate the official wording in English immediately after it is stated in Italian. For events like Alessandra and Carlo’s wedding [link to case study], we can decide whether to use portable systems with earphones and receivers that enable foreign guests to listen to the translation in real time from their seats.
What if there are guests who speak multiple different languages (e.g. English, Italian and Portuguese)?
This requires a hybrid strategy based on the specific circumstances. I adopt a combination of interpreting during the ceremony, carefully planned printed materials (e.g., bilingual or trilingual order-of-service booklets) and targeted translations during key celebratory or touching moments, ensuring that all of the linguistic groups present receive essential information and don’t miss anything.
Which certificates need to be translated into Italian?
The necessary documentation varies based on the nationality of the couple. Generally, the most common documents are a certificate of freedom to marry or certificate of no impediment, and sometimes birth certificates. For these to have legal validity in Italy, they must be translated and certified by a sworn declaration before an Italian court. I handle this entire procedure personally.
What is a “sworn translation” of a document?
It’s not sufficient for a document to be correctly translated. In order for it to have legal validity for the Italian state, the translation must be certified by a sworn declaration before an Italian court. This means that I, as a professional translator and qualified member of professional associations, present the translation physically before a court official and swear that I have accurately and faithfully reproduced the content of the original document. Without the official record and duty stamps, the municipal authority will not accept the documents and the marriage cannot go ahead. I handle this entire procedure personally, ensuring that all legally required documentation is present and correct.
Can you recommend other suppliers, such as photographers?
Yes! Having worked in this area for a while, I can put you in touch with photographers, singers, officiants, wedding planners and tour operators that specialise in destination weddings. Get in touch for some personalised suggestions.
Can you help us to organise transport for guests once they are in Italy?
Yes! I am a qualified and certified Tour Manager, which means that I can not only handle the multilingual communication for your wedding ceremony, but also the logistics and organisation to transport the group around Italy, including transfers to the wedding location and excursions for international guests.
